Custom apps are powerful and easy to over-reach for. Here is how to tell whether your problem genuinely needs one — or whether a Function, an existing app, or nothing at all is the better answer.

We build custom Shopify apps, and we will still be the first to tell you when you do not need one. A custom app is the right answer more rarely than people expect — and when it is right, it is very right. Getting that call correct up front saves a lot of money.

Here is how we think about it.

First, rule out the cheaper answers

Before a custom app is on the table, two questions have to fail:

  1. Is this a Shopify Functions job? If you are changing discounts, payments, delivery or validation, that is a Function — cheaper to run, upgrade-safe, and hosted by Shopify. No app required.
  2. Does an App Store app already do it well? If a marketplace app fits, use it. Custom software you did not need is an ongoing cost, not a trophy.

If both of those genuinely fail, a custom app starts to make sense.

The signals that you do need one

A custom app is usually the right call when:

  • No existing app does the job — the workflow is specific enough that the marketplace does not cover it.
  • You are stitching multiple apps together to approximate one process, paying several subscriptions and living with the fragility where they meet.
  • An app almost fits but you cannot change the one part that matters to your business.
  • You need an integration to a system you already run — an ERP, a WMS, a CRM — with logic and error handling specific to your setup.
  • You want an embedded admin tool your team uses inside Shopify admin, built around how they actually work.
  • The logic and data need to be yours — under your control and roadmap, not a third party’s.

If two or three of these are true, you are likely past the point where off-the-shelf makes sense.

What a custom app actually costs you

An honest look at the trade-off. A custom app is not free once it is built — it needs hosting, monitoring, and maintenance as Shopify’s platform evolves. That is real, ongoing work. The upside is that you own it: it does exactly what you need and nothing you do not, it is not subject to another company’s pricing changes or shutdown, and it can be maintained by your team or another developer because you hold the code.

The way to keep that cost sane is to build on Shopify’s supported stack — the Admin GraphQL API, App Bridge, Polaris, webhooks, and Functions or UI extensions where they fit — so the app stays upgrade-safe rather than becoming a liability. That is the core of how we approach custom app development.

The mistake in both directions

There are two ways to get this wrong. One is reaching for a custom app when a Function or an existing app would have done the job — expensive, and slower to ship. The other is refusing to build one and instead running five overlapping apps forever, paying more in subscriptions and downtime than a purpose-built app would have cost.

The right answer is boringly situational: the cheapest tool that genuinely solves the problem and will still be standing after the next platform update.

The short version

You probably do not need a custom app for a single rule — that is a Function. You probably do not need one if the App Store already covers it. You likely do need one when no app fits, when you are gluing several together, or when you need a real integration or an embedded tool that is yours to keep.
